{"id":428,"date":"2019-06-30T16:26:50","date_gmt":"2019-06-30T23:26:50","guid":{"rendered":"http:\/\/biokic1.rc.asu.edu\/lichen\/wordpress\/?p=428"},"modified":"2025-12-04T09:24:09","modified_gmt":"2025-12-04T16:24:09","slug":"how-to-create-a-new-collection","status":"publish","type":"post","link":"https:\/\/help.lichenportal.org\/index.php\/en\/2019\/06\/how-to-create-a-new-collection\/","title":{"rendered":"How to Create a New Collection"},"content":{"rendered":"\n<p>We <em>very much welcome<\/em> both private researchers and institutions, who want to join the <em><a rel=\"noreferrer noopener\" href=\"http:\/\/lichenportal.org\/cnalh\/\" target=\"_blank\">Consortium of North American Lichen Herbaria<\/a><\/em> (CNALH) [if you are from Latin America, you might want to visit the Latin American <em><a rel=\"noreferrer noopener\" href=\"http:\/\/lichenportal.org\/chlal\/\" target=\"_blank\">Consorcio de Herbarios de L\u00edquenes de Am\u00e9rica Latina<\/a><\/em> (CHLAL)].<\/p>\n\n\n\n<p>Personal collections of private researcher <em>not <\/em>affiliated with a particular institution should be managed in the <em><a rel=\"noreferrer noopener\" href=\"http:\/\/lichenportal.org\/cnalh\/collections\/misc\/collprofiles.php?collid=26\" target=\"_blank\">General Observation and Personal Collections <\/a><\/em>(CNALH-Observation) profile. If you have just registered, you will need access to this profile, please contact  <a href=\"mailto:CNALH.help@gmail.com\">CNALH.help@gmail.com<\/a>.<\/p>\n\n\n\n<p>If you are the collections manager of a New Collection, your collection will first have to be created, before any data can be entered (or uploaded in batch). Unless you have Super Admin privileges, please contact <a href=\"mailto:CNALH.help@gmail.com\">CNALH.help@gmail.com<\/a><\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"476\" src=\"http:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/01_CNALH_Collection-type_Create-Collection-2-1024x476.jpg\" alt=\"\" class=\"wp-image-430\" srcset=\"https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/01_CNALH_Collection-type_Create-Collection-2-1024x476.jpg 1024w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/01_CNALH_Collection-type_Create-Collection-2-300x139.jpg 300w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/01_CNALH_Collection-type_Create-Collection-2.jpg 1072w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Important differences before creating a new collections are outlined below.\nBefore a new collection is created, you will need to decide, if you want to\nmanage your data offline in a local database and regularly update snapshots of\nyour data, or if you prefer using CNALH as your collection database management\nsystem.<\/p>\n\n\n\n<p>Two examples:<\/p>\n\n\n\n<p>The <strong>Arizona State University Lichen Herbarium (ASU)<\/strong> manages\nall occurrence records (= specimen data) <strong>live <\/strong>online, inside\nthe <em>Consortium<\/em>:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"634\" src=\"http:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/02_CNALH_Collection-type_Live-Data-2-1024x634.jpg\" alt=\"\" class=\"wp-image-432\" srcset=\"https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/02_CNALH_Collection-type_Live-Data-2-1024x634.jpg 1024w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/02_CNALH_Collection-type_Live-Data-2-300x186.jpg 300w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/02_CNALH_Collection-type_Live-Data-2.jpg 1102w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>The Bell Museum at the University of Minnesota\n(MIN) manages their specimen data offline in a local database, but regularly\nuploads their lichen occurrence data to the <em>Consortium<\/em>:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"497\" src=\"http:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/03_CNALH_Collection-type_Snapshot-4-1024x497.jpg\" alt=\"\" class=\"wp-image-433\" srcset=\"https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/03_CNALH_Collection-type_Snapshot-4-1024x497.jpg 1024w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/03_CNALH_Collection-type_Snapshot-4-300x145.jpg 300w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/03_CNALH_Collection-type_Snapshot-4.jpg 1099w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>In CNALH both data sets belong to different collections that are either configured as snapshot or as live data set. <br>Here the <strong>metadata <\/strong>of another snapshot collection the<strong> lichen data snapshot<\/strong> from the Field Museum of Natural History (F).<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"845\" src=\"http:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/04_CNALH_Collection_Snapshot-Metadata-1-1024x845.jpg\" alt=\"\" class=\"wp-image-434\" srcset=\"https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/04_CNALH_Collection_Snapshot-Metadata-1-1024x845.jpg 1024w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/04_CNALH_Collection_Snapshot-Metadata-1-300x248.jpg 300w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/04_CNALH_Collection_Snapshot-Metadata-1.jpg 1095w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Snapshot collections often manage their own system of <strong>Global Unique Identifiers (GUIDs)<\/strong> and they typically do not use the built-in data uploader to upload their data to GBIF.<br>For most configurations it is nevertheless recommended to use either a unique <strong>catalog number<\/strong> or<strong> occurrence ID<\/strong> as unique identifier<\/p>\n\n\n\n<p>Live Collections are always configured to use Global Unique Identifiers (GUIDs), A <strong>Symbiota Generated GUID (UUID)<\/strong> will be world-wide unique for each single occurrence record of your live collection. This GUID can therefore be used to upload and update records in DarwinCore format directly to the Global Biodiversity Information Facilities (GBIF). <br>Snapshot collections can also be uploaded to GBIF, but for this tool to work, your database must be configured to use GUIDs and the upload to GBIF checkbox must be enabled.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"973\" src=\"http:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/05_CNALH_Collection_Live-Metadata-1-1024x973.jpg\" alt=\"\" class=\"wp-image-435\" srcset=\"https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/05_CNALH_Collection_Live-Metadata-1-1024x973.jpg 1024w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/05_CNALH_Collection_Live-Metadata-1-300x285.jpg 300w, https:\/\/help.lichenportal.org\/wp-content\/uploads\/2019\/06\/05_CNALH_Collection_Live-Metadata-1.jpg 1094w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>You will have noticed also that it is possible to add a physical mailing address to the collections.
