{"id":115,"date":"2019-06-26T01:16:19","date_gmt":"2019-06-26T01:16:19","guid":{"rendered":"http:\/\/biokic1.rc.asu.edu\/lichen\/wordpress\/?p=115"},"modified":"2025-12-04T09:25:47","modified_gmt":"2025-12-04T16:25:47","slug":"manage-occurrence-data","status":"publish","type":"post","link":"https:\/\/help.lichenportal.org\/index.php\/en\/2019\/06\/manage-occurrence-data\/","title":{"rendered":"Manage Occurrence Data"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">(live collections)<\/h2>\n\n\n\n<p>To manage existing Occurrence (= Specimen) Records live inside the portal, first log into CNALH with your user account.<\/p>\n\n\n\n<p>Then go to <em><strong>My Profile<\/strong><\/em> and select the <strong><em>Specimen Management<\/em><\/strong> tab. From this tab choose &#8220;<em><strong>your collection name<\/strong><\/em>&#8221; [the example below features screenshots from the <em>University of Oklahoma Lichen Herbarium (CSU:Lichens)<\/em>].<\/p>\n\n\n\n<p>From the Data Editor Control Panel you can<em> add new occurrence records<\/em> or <em>edit existing occurrence records<\/em>. For the purpose of this Tutorial choose <em>edit existing occurrence records<\/em>. A search box will appear. If you do not enter any criteria and hit <em><strong>display editor<\/strong><\/em>, the first record of your collection will show up in editor view:<\/p>\n\n\n\n<p>Here you can review the data already entered for accuracy and make any necessary edits. The small green &#8220;?&#8221; provide useful hints what kind of data should be entered into the different fields. The <em><strong>Dupes<\/strong><\/em> button allows you to search the Consortium for duplicate records of your specimen.<\/p>\n\n\n\n<p>Note the<strong> |&lt; &lt;&lt;| x of y |&gt;&gt; &gt;| <\/strong>arrows at the top of the page. They help you navigate from one record to the next. The <em><strong>magnifying glass<\/strong><\/em> icon brings up the search box again, where you can adjust the criteria of the records retrieved that you want to edit.<\/p>\n\n\n\n<p>The <strong>Occurrence Editor<\/strong> includes several tabs: <strong>Occurrence Data<\/strong> displays all current information about a specimen, i.e., who collected the specimen, where it was collected, who identified it &amp; how, etc.<br>Only the most current identification is shown here. In the example below the original identification of the specimen is <em>Caloplaca crenulatella <\/em>(Nyl.) Select one particular annotation (not necessarily the most recent one) as accepted. [This can be particularly useful, for example, if you have a class of lichenology students, who, as part of their assignment, entered specimen records as Personal Collections and then decided to donate these specimens to your institution.]<br>Only individual records can currently be transferred.
